Getting Started with Exarich: A Step-by-Step Guide to Enriching and Filtering Your Leads
Let's be honest: you're not here for the theory.
You have a CSV file of leads and you want to enrich them, filter them, and get back to selling.
This guide will walk you through exactly how to do that using Exarich. By the end, you'll have a qualified lead list ready to export to your email platform.
Time to complete: 10-15 minutes
Let's get started.
What You Need Before Starting
Before you jump into Exarich, gather:
1. Your CSV file with your lead list
- At minimum: company names and/or email addresses
- Optional but helpful: industry, company size, website URL, contact names
2. Clear ICP criteria in your head
- What industries do you target?
- What company sizes?
- What business models?
- Any specific characteristics?
3. 10-15 minutes of uninterrupted time
- This isn't complicated, but you want to think through your filters properly
Got those? Let's go.
Step 1: Sign Up and Log In
First, head to exarich.com and create your account. You get a free trial—no credit card required.
Once you're logged in, you'll see your dashboard with an "Upload New List" button. Click it.
Step 2: Upload Your CSV File
You'll see an upload form that asks for your CSV file.
Here's what you can upload:
- Companies only (we'll find the contacts)
- Companies + contact names + emails
- Just domains/websites
- Any combination of the above
- Company names and/or email addresses
Click Select File and choose your CSV.
Mapping Your Columns
After you select your file, Exarich will show you a preview and ask you to map your columns.
What this means: If your CSV has a column called "Company Name," you tell Exarich where that column is.
Typical column mapping looks like:
- Column A = Company Name → Map to "Company"
- Column B = Contact Email → Map to "Email"
- Column C = Contact Name → Map to "Contact Name"
- Column D = Industry → Map to "Industry"
Exarich will usually auto-detect these, but verify they're correct before moving on.
If you're not sure what a column contains, just hover over it. Exarich shows you sample data.
File Size & Lead Count
How many leads can you upload?
- Free trial: Up to 5,000 leads
- Paid plans: Unlimited
What format does Exarich accept?
- CSV files
- Excel (XLS/XLSX)
- Tab-separated values (TSV)
Click Next once your columns are mapped correctly.
Step 3: Enrichment Settings
Now you're in the enrichment configuration screen.
What you'll see:
- Website scraping toggle (enabled by default)
- AI summary options
- Enrichment depth levels
- Processing preferences
Website Scraping
This is where the magic happens. Exarich automatically scrapes each company's website to:
- Understand their business
- Identify their target market
- Analyze their positioning
- Extract relevant content for AI summarization
Should you enable it?
Yes. Always. This is what makes Exarich different from basic data enrichment tools. Website scraping is what allows us to do intelligent filtering.
Leave this on.
AI Summaries
You can choose the depth of AI summaries generated for each lead:
Quick Summary (default)
- 2-3 sentences about what the company does
- Good for most use cases
- Faster processing
Detailed Summary
- Full paragraph with business model, target market, and signals
- Better for highly custom filtering
- Takes slightly longer
For most people, Quick Summary is perfect. You can always upgrade to Detailed if you need more context.
Processing Preferences
Order of enrichment: Choose whether Exarich processes leads by company (recommended) or individually. Company-based is faster and usually better.
Confidence threshold: Set minimum confidence level for data inclusion. Keep this at default unless you want extremely high-certainty data only.
Leave these at defaults unless you have a specific reason to change them.
Click Start Enrichment to begin the process.
Step 4: Enrichment Processing
This is the automated part. Exarich is now:
- Scraping each company's website
- Extracting business information
- Running it through our AI
- Creating summaries
- Organizing the data
How long does this take?
- 100 leads: 2-3 minutes
- 1,000 leads: 15-20 minutes
- 5,000 leads: 45-60 minutes
You don't have to wait. Exarich will send you an email when enrichment is complete. But it's kind of cool to watch, so feel free to grab coffee and come back.
Step 5: Review Enriched Data
Once enrichment finishes, you'll see your enriched leads in a table view.
You'll see columns like:
- Company name
- Website
- Enriched summary
- Business category
- Company size signals
- Contact information
- Any data from your original CSV
Scroll through a few entries. Read the AI summaries. This is the data you'll filter on.
Pro tip: Click on any row to see the full summary and all extracted data. This is helpful for understanding how Exarich is analyzing each company.
Step 6: Set Up Smart Filters
This is where you build your qualified list.
Click the "Filters" button to open the filter builder.
Understanding Filter Types
Exarich offers several filter types:
Text Filters (contains/doesn't contain)
- Example: "Summary contains 'B2B'" → keeps only companies positioned as B2B
- Example: "Summary doesn't contain 'enterprise-only'" → removes companies that only serve enterprises
Category Filters
- Filter by industry, company size, location
- Example: "Industry = SaaS" or "Company size = 20-100"
Custom Boolean Filters
- Combine multiple conditions
- Example: "Industry = SaaS AND Company size > 50 AND Summary contains 'SMB friendly'"
Creating Your First Filter
Let's build a filter from scratch.
Say you sell to B2B SaaS companies (not B2C) in the 20-200 employee range.
Your filter logic:
1. Filter 1: Summary contains "B2B" (keeps B2B companies)
2. Filter 2: Summary doesn't contain "B2C" (removes B2C companies)
3. Filter 3: Company size = 20-200 (keeps right-sized companies)
Here's how to set it up:
Click Add Filter → Text Filter
- Choose field: "AI Summary"
- Condition: "Contains"
- Value: "B2B"
- Click Add
Click Add Filter → Text Filter
- Choose field: "AI Summary"
- Condition: "Does not contain"
- Value: "B2C"
- Click Add
Click Add Filter → Category Filter
- Choose field: "Company Size"
- Condition: "Between"
- Values: 20 to 200
- Click Add
Real-World Filter Examples
Filter: "Companies with hiring signals"
- Summary contains "hiring" OR "growing team" OR "expanding"
- This suggests business momentum
Filter: "Companies in our target market"
- Summary contains "marketing automation" AND contains "SMB"
- This targets companies that do marketing automation for small businesses
Filter: "Remove consultancies (we only want product companies)"
- Summary doesn't contain "consulting" AND doesn't contain "agency" AND doesn't contain "services"
Filter: "Geographic focus"
- Country = "United States"
Testing Your Filters
Before applying filters, always test them first.
After you create your filter set, you'll see:
- Live preview: How many leads will remain after filtering
- Sample results: See a few companies that would pass the filter
This is crucial. You might set up a filter thinking it will keep 2,000 leads, and then realize it only keeps 50 (maybe your phrasing didn't match the AI summaries).
Adjust and test again until you're happy with the numbers.
Rule of thumb:
- If you start with 10,000 leads, a good filter should keep 20-40% (2,000-4,000)
- If you're keeping less than 10%, your filters might be too strict
- If you're keeping more than 70%, your filters might be too loose
Adjust accordingly.
Step 7: Apply Filters and Review Results
Once you're happy with your test results, click Apply Filters.
Exarich will now apply your filter criteria to all leads and show you the results.
You'll see:
- Total leads remaining: How many passed your filters
- Filtered list: Scrollable table of qualified leads
- Data completeness: What enrichment data was captured for each
Scroll through a few results. Do these look like people you'd actually want to talk to?
If yes, great! Move to the next step.
If no, go back to Adjust Filters and refine your criteria.
Step 8: Export Your Qualified Leads
Now for the money moment: exporting your qualified, enriched lead list.
Click Export.
You'll see options for:
- Export format: CSV, Excel, or copy to clipboard
- Fields to include: Choose which data columns to export
- Include summaries: Whether to include AI summaries (highly recommended)
Pro tip: Include the AI summaries in your export. They're incredibly helpful when you're doing outreach because they give you context about each company.
Recommended export fields:
- Company name
- Website
- Contact email
- Contact name
- AI Summary (to understand the company)
- Company size
- Industry
Click Export as CSV (or Excel).
Your file will download instantly.
Step 9: Import to Your Email Platform
You now have a CSV of qualified, enriched leads.
Next steps:
1. Open the CSV in your favorite spreadsheet tool
2. Import to Instantly/Smartlead/Salesloft
- These platforms have CSV import functions
- Map your columns to their fields
- Upload and you're ready to send
3. Use the AI summaries to personalize your outreach
- You now have context about each company
- Your emails will be more relevant
- Response rates will be higher
Common Questions
Q: What if I don't have company websites in my CSV?
A: No problem. Exarich can find websites from company names and emails. Just make sure you have accurate company names.
Q: How accurate is the AI summary?
A: Very. Our AI reads the actual website content and creates summaries. It's 85-95% accurate. Always review a few summaries to get a feel for quality.
Q: What if a company's website is incomplete or outdated?
A: The AI summary reflects what's on their website. Sometimes companies have outdated sites. That's real data—you're getting true information, not guesses.
Q: Can I re-filter the same list?
A: Absolutely. Your enriched data stays in Exarich. You can create new filters and re-export as many times as you want.
Q: How long do I have access to my enriched data?
A: It stays in your Exarich account indefinitely. You can access, re-filter, and re-export anytime.
